Digitizing 850 archive boxes in record time: a logistical and digital challenge
The archived materials covered nearly ten years of activity. They represented a substantial documentary collection, composed mainly of DIN A4-format documents, for a total volume of approximately 850 boxes.
The client’s main objective was to obtain, within a very short timeframe linked to an imminent deadline, a complete digital version of the entire collection. The project also involved major logistical constraints: we needed to be able to receive, secure, and temporarily store up to 10 pallets of boxes throughout the processing period.

Our solution: a structured setup to ensure successful delivery
CK immediately leveraged its infrastructure, with nearly 600 m² of secure storage space, allowing us to accommodate all pallets without difficulty for the duration of the project.
A structured project plan was implemented, with a clear, shared timeline covering a three-month period to ensure delivery within the required deadlines.
To support the project’s ramp-up, CK strengthened its Outsourcing Services team by adding four additional staff members. A dedicated six-person team, coordinated by a Team Leader, was therefore mobilized to carry out the project from start to finish.
A fully controlled digitization process
A rigorous document preparation phase preceded the digitization: cleaning, flattening, and inserting document separators to guarantee consistent processing quality.
The digitization operations were carried out using PaperStream Capture Pro, followed by exhaustive quality control. The physical documents were then reconditioned identically — stapled, reorganized, and placed back into their original boxes.
After validation of a pilot batch and parameter adjustments with the client, production began.
Throughout the entire project, our teams implemented a structured communication framework, including detailed weekly reporting. This collaborative approach helped anticipate potential deviations, secure deadlines, and ensure full visibility for the client.
